We are looking for: HR Assistant
HR Assistant ensures that the HR department is organized and operates smoothly to attract, hire and retain employees. They act as the liaison between HR and employees, providing effective communication and prompt resolution of requests and questions, preparing HR documents, updating personnel records, and more. The HR Assistant is excellent at multitasking and needs to be organized and have exceptional interpersonal and time management skills. Global Engineering Technologies is looking for an experienced HR Assistant to take our company to new heights. As a great candidate, you have solid organizational skills and proven experience maintaining personnel records, managing HR documents, and updating internal databases.
Responsibilities:
- Providing administrative support to the HR function, in line with business requirements
- Full understanding of all relevant HR processes and procedures and being a competent user of all internal tools and systems used for HR processes
- Updating and maintaining internal HR databases, records and reports with accurate data that accurately reflect current staff conditions and details.
- Administering employee Performance Appraisal process from planning and scheduling PA meetings, processing information, managing documentation flow to controlling documentation accuracy, completion and process time frames.
- Updating and maintaining internal annual HR engagement budget database.
- Updating and maintaining internal and external growth (L&D) processes administration.
- Being in charge for all administrative tasks during the recruitment process, from preparing recruitment documents, scheduling interviews, monitoring recruitment timetables, drafting and placing adverts, logging application forms, administering recruitment campaigns through the public recruitment channels.
- Creating positive candidate experience by supporting the candidates throughout the recruitment funnel, making the recruitment process run smoothly and efficiently.
- Administering the onboarding process for newcomers, from preparing contracts, offer letters, to coordinating induction meetings with new employees, and liaising with Line Managers and Mentors to ensure they are aware of their responsibility in the induction process.
- Acting as a primary contact for queries on the HR related softwares, acting as administrator, collaborating with internal tools developers to troubleshoot queries as required.
- Administering employee’ departing process by ensuring that all the tasks are completed timely and in accordance with the departure procedures
- Creating various reports from the HR database for the purpose of auditing and monitoring employee data and training.
- Supporting HR priority projects with any administrative activity, including updating relevant reports and keeping track of relevant deadlines.
- Taking notes and meeting minutes in staff meetings.
- Updating and revising HR and company policies and procedures based on inputs from relevant stakeholders.
- Assisting in organization of various HR projects (e.g. job fairs, team buildings, employee events etc).
About you:
- Previous 2+ years of experience as HR administrator or HR Assistant
- Hands on experience with different job applications portals (Poslovi Infostud, LinkedIn, Joberty, etc)
- Hands on experience in recruitment administration (scheduling interviews, candidate database management etc)
- Basic understanding of Serbian Labor Law
- Excellent organizational skills, with an ability to prioritize important projects
- Analytical person with great attention to detail
- People person with strong interpersonal skills
- Strong phone, email and in-person communication skills
- Team player and willing to learn
- Troubleshooting skills and “Can do” attitude
- English language proficiency – written and spoken
- PC literacy and experience with Google Workspace or MS Office
