It supports the development of the National Societies, particularly in strengthening their capacities to respond to emergencies and help families separated by migration or other circumstances restore/maintain contact.
The ICRC Belgrade Regional Delegation is looking for a suitable candidate to fill the following position:
Assistant and Information Management Officer
(Location Belgrade – Resident position – full-time 100%)
Purpose of the position
The Assistant and Information Management Officer (AIMO) is a team member of the ICRC Regional Resources Network (RRN) for the Europe and Central Asia region based in Belgrade Delegation.
S/He assists the Head of RRN in the office administration of the RRN team members, as well oversees and provides technical support in the information management and ICT tools used in line with basic information security principles and ICRC rules on personal data protection. It will also assist the Head of RRN in the data management, visualization, and information analysis for the team and reporting generated due to specific thematic or field activities carried out in the area of coverage.
Main responsibilities
The Assistant and Information Management Officer:
- Organizes internal operational flow and is responsible for information management and is the first entry point within RRN (rules, policies, processes, security of information, change management applied to information management, IM tools, and systems) and liaises with Belgrade Delegation, team, or workstream meetings and information flows as required (e.g. notes, minutes of meetings, agendas, action points, information tools, etc.) considering agendas, timelines, and scheduling priorities
- Maintains an overview of the calendar of regional team members (new staff, incoming and outgoing travel schedules, absences, field missions, etc.); regularly updates the organizational charts and lists used by RRN for regular work or annual budget planning exercises
- Compiles and oversees reporting on activities or specific thematic carried out by the regional team members (e.g., monthly or ad hoc reporting) using visual data and analysis and ensures proper internal sharing/filing
- Provides administrative support as required with regional courses or events in Belgrade for the RRN team
- Assists the Head of RRN with administrative support in the assessment, design, collection, visualization, and reporting on data for various surveys (e.g., perception, HR performance) or management of specific projects
- Supervises and manages the use of project and collaborative tools (Microsoft SharePoint, Intranet, and Community pages) for the RRN team members in close collaboration with the Information Management team in Belgrade or Headquarters
- Ensures compliance with the information and data security (including Data Protection Office (DPO) recommendations) and other institutionally approved rules.
- Systematically organizes or supervises information or training sessions for staff on IM subjects in coordination with the (Information Management Coordinator.
- Manages accounts, access to information tools and acts as site record manager for the RRN and contributes to the discussion on information management practices upon request
Background and experience
Education
- Bachelor’s or master’s degree in information management or other relevant certification
- Certified Information Professional (CIP) from Association for Management (AIIM) is an asset
Experience
- 2 years of confirmed practical IM experience (as IM Officer or Manager) in an international working environment, abroad, or with an international organization
- Proven experience in team collaboration and in change management
Technical and Personal skills
- Knowledge of relevant Information management systems and an advanced command of Microsoft Office Applications (Word, Excel, PowerPoint, Outlook, Forms, Visio) and digital tools (MS SharePoint, Jive Communities, Mural, etc)
- Information Security management and records management Advisory, coaching, and mentoring
- Excellent spoken and written communication skills in English (knowledge of French is an asset)
- Ability to manage cross-team projects in a multi-cultural working environment
- Effective communication and collaboration skills
- Ability to work efficiently across multiple priorities, deadlines, and people
- Ability to direct own work and to work with good autonomy from the direct supervisor
- High level of accountability and client-focused
